Any SAP professional working in the field of integration, data migration or system interfacing should understand what IDocs are and how they work. What is an IDoc?

IDoc (Intermediate Document): An IDoc is a standard SAP document format for business transaction data. It is fundamentally a container or communication package to share data between applications in an interoperable and straightforward manner. Some examples of their uses include being used in EDI scenarios, system integrations systems transferring data between different applications or as part of complex migrations.

3. Status Records:

Status of an IDoc when it is processed in the system — Status Records. Each status is a stage an IDoc goes through from being created to successfully processed or error releasing stages. Common status codes include:

  • 01: IDoc created
  • 03: IDoc sent to the receiver
  • 12: IDoc successfully posted 
  • 18: Error during processing

4. Segments:

Segments are IDoc objects that define the structure and characteristics of Data Records. Each segment is designed for a particular purpose, and it can be obligatory or non-obligatory based on the IDoc type. And it allows you to share those segments for different IDoc-types, thus promoting consistency and reusability.

Types of IDocs

Based on their usage, we can classify IDocs into two main categories:

1. Basic IDoc Types:

SAP has predefined the basic types of IDocs, which are called base or standard although these are known as Basic Types for Standard Business Process. IDocs are defined with a fixed set of segments and fields (is provided as an IDoc template). Basic IDoc Types: Common Examples

  • ORDERS: Processing orders
  • INVOIC: For invoices only
  • DEBMAS: Updates Customer master data

2. Extended IDoc Types:

Extended IDoc Types are variations of Basic type IDocs and contain the structure that is suitable for a particular business transaction, which can be selected rather than using an equivalent basic IDoc in any processing where required. When we extend a Basic IDoc Type, users can include or exclude segments and fields can also be added, modified as per requirement without changing the standard structure. This flexibility allows businesses to extend IDocs quite a bit without breaking SAP standards.

How IDocs Work: The IDoc Processing Flow

1. IDoc Creation:

4. IDoc Posting:

However, if the IDoc is received successfully from outside SAP, it gets posted onto a respective application module in SAP. For instance, an ORDERS IDoc would land in the Sales and Distribution (SD) module to be treated as a sales order. This is likely an over simplified process as posting typically contains additional steps such as loading multiple files, transforming data on one or more columns to a common format for the batch run, adding validation rules and error handling.

5. IDoc Monitoring and Error Handling:

SAP offers various tools to monitor and control IDocs at any stage of their lifecycle. Common Tcodes to work with IDocs are as follows: 

  • WE02/WE05 – to display and analyze statuses, search and check details, etc. 
  • BD87 – to reprocess the IDoc for error situations. 
  • WE19 – to test and simulate for IDoc process.

Errors are also managed manually or automatically based on the error type and client settings. Error processing steps may include updating the data, the customization settings, or checking the connection.
